Record Room is responsible for the processing of personal data as described in this privacy statement.

2. What data do we process?

We process data that you yourself provide to us or that arises from the use of our website, booking environment, and studio. This includes your name, email address, telephone number, company name, billing details, payment status, booking details, chosen service, date and time of your reservation, communication with us, support requests, acceptance of terms and conditions, access times, and technical data.

During or after a session, recording files such as video, audio, thumbnails, exports and download links can also be processed. These recordings are yours. Record Room does not use your recordings for marketing, portfolios, training, or publication, unless you explicitly give permission beforehand.

CCTV surveillance may be present in and around the Record Room for security, access control, damage prevention, and incident investigation. This security footage is separate from any recordings you make yourself during your session.

3. Why do we process this data?

We use personal data to fulfil our agreement with you. Without this data, we cannot process your booking, grant you access to the space, make your admission available, or provide support.

Furthermore, we process data because we have a legitimate interest in doing so. This applies, for example, to enabling the safe and independent use of the studio, preventing damage or misuse, investigating incidents, and improving our services.

For administrative, invoicing and tax obligations, we process data because it is legally required. For marketing messages, we ask for consent when necessary.

4. Storage of recordings and European cloud

Recordings and footage are temporarily stored in a European cloud environment via Cloudflare. We use settings intended to store customer files within the European Union. Cloudflare acts as a technical service provider for storage, security, and file availability.

More information can be found in the Cloudflare documentation about data location and in the Cloudflare Data Processing Addendum.

5. How long do we store data for?

We retain booking, customer, and support data for as long as is necessary for the performance of the service, administration, support, and any potential disputes. We retain invoice and administrative data for as long as required by fiscal law.

We retain recordings and footage for a maximum of 2 months following provision, unless work, assembly, support, technical problems, incidents, damage claims or legal disputes necessitate longer retention of material. In such cases, we will only retain what is necessary and for no longer than required.

Security footage is used for safety, access control and incident investigation. Footage is not kept for longer than necessary. In the event of incidents, damage, reports, insurance or legal proceedings, relevant footage may be retained for longer.

6. Who do we share data with?

We only share personal data with parties that are necessary for our service provision, such as our website and booking environment, payment provider, cloud storage, email service, hosting provider, access or security provider, accountant, and technical administrators.

When suppliers process personal data on our behalf, we make appropriate arrangements concerning security, confidentiality, and processing. We do not sell personal data to third parties.

7. Your responsibility during recordings

When you record other individuals, for example guests, colleagues, clients or participants, you are responsible for informing these individuals and for any consent that may be required.

Record Room does not determine the content of your recording. We only process the recording file technically, for example for recording, temporary storage, editing, export, download or support.

8. Cookies

Our website uses necessary cookies to ensure the website and booking environment function correctly. For analytical or marketing cookies, we ask for consent when legally required.

9. Security

We take appropriate technical and organisational measures to protect personal data, recordings, and camera footage from loss, misuse, and unauthorised access. This includes secure connections, access restrictions, temporary download links, secure cloud storage, technical updates, and agreements with suppliers.

10. Your rights

You can ask us to inspect, correct, delete, restrict, transfer your data or object to processing. If processing is based on consent, you can withdraw that consent.

Send your request to [email protected]. We may ask for additional information to ensure the request is genuinely from you.

11. Complaints

Do you have a complaint about how we handle your personal data? Please contact us and we will try to resolve it.

You also have the right to lodge a complaint with the Data Protection Authority.

12. Amendments

We may amend this privacy statement if our services, systems, or legal obligations change. The latest version will always be available on our website.
